WHAT IS A CREDENTIAL FILE?

The credential file is the official written reference file established and maintained by you and the The Office of Career and Internship Services to support your current and future employment. It will include recommendations from faculty, staff and/or employers and your current resume. Your file, when completed, will be forwarded to prospective employers at your written request. Additional recommendations may be added to your file at any time. A credential file should be kept up to date; when you change employment or career areas, current recommendations and an updated resume should be submitted.

HOW DO I START MY FILE?

Attend a Credential File Presentation (usually given in the Spring) or stop by the The Office of Career and Internship Services and pick up a Credential File Packet.
  • Student/Graduate signs reference forms and fills out name on each recommendation form.
  • Student fills out application form
  • Student distributes recommendation letters to professors

WHAT IS INCLUDED IN A COMPLETED CREDENTIAL FILE?

The completed Credential File will contain the following:
  • Completed recommendations form(s)
    • Nursing - 3 recommendaton forms
    • Physical Therapist Assistant - 3 recommendation forms
    • Occupational Therapist Assistant - 3 recommendation forms
    • Dental Hygienst - 2 recommendation forms
    • Diagnostic Imaging - 1 recommendation form
  • Resume
  • Registration Application
  • A release signed by the student/graduate (front inside cover)
  • A record of where and when your Credential File was sent

HOW MUCH DOES IT COST?

There is no fee associated with a credential file. Files are kept in the The Office of Career and Internship Services for a period of two (2) years. A maximum of 6 credential packets will be mailed out, upon completion of the Credential File. After 12 months, or 6 requests for mailing, graduates may be required to submit a fee each time a request is made.

HOW DO I REQUEST MY FILE BE SENT?

To send your file to an employer, you will need to fill out a Credential File Release Form. Please include the complete employer mailing address and zip code, along with your address and phone number.

Credential file requests must be made in person or in writing (by FAX or LETTER). Requests by phone or e-mail will not be honored.

Requests are completed in order of arrival. Please allow sufficient time for your request to be honored. Most Credential Files are processed within 2-4 days after your request is received.

HOW LONG DOES MY CREDENTIAL FILE STAY OPEN?

The Credential File remains active in the The Office of Career and Internship Services for two (2) years after the last time it is used. If you add a recommendation or request a transaction any time within that two (2) year period, it will stay active for two (2) additional years. For example, if you created a file in 2009 and never used it, it would be available until 2011, but if you added a new recommendation or requested a transaction in 2010, you file would then be available until 2012. After five (5) years of inactivity, a file is destroyed, unless you request it to remain available.

HOW DO I CHECK TO SEE WHICH RECOMMENDATIONS ARE IN MY FILE?

You may check your recommendations over the telephone by calling (845) 341-4444, or you may check in person in the The Office of Career and Internship Services, Room 227, 2nd Floor, George F. Shepard Student Center. You may also e-mail our office (careers@sunyorange.edu) with the names of your recommenders and we will be able to indicate if those recommendations have been received.

WHY DON'T YOU KEEP MY TRANSCRIPTS IN MY CREDENTIAL FILE?

The Registrar's Office handles transcript requests. All official transcripts must be requested through their office. You can view additional information about transcripts, as well as download a transcript request form at:

WHEN DO I HAVE TO SUBMIT AN UPDATED RESUME?

You should submit an updated resume whenever you have changed employment or wish to tailor your resume to a specific job or application.

WHAT SHOULD I DO IF I AM MISSING A RECOMMENDATION?

It is important to make sure that the recommendations you want to send are in the file before you send it out to employers. You will need to check the file in person or over the phone to see if the recommendations you were expecting have arrived in the office. Do not assume that because you have asked someone for a recommendation, that they have done so.

If you are missing a recommendation, you should contact the person to see if he or she has sent it to Career Services. Be sure to give the person enough time to write that recommendation, but if they have not completed it within a reasonable amount of time, you may want to consider finding another person to complete your recommendation. It is the graduate's responsibility to make sure the credentials file is complete.
